A guide for staff — raising a swap request, and running the
treatment roster.
You are not signed in. You can read this page and look at the
rosters, but you cannot submit a request, see the request lists or
edit anything until you sign in.

2 Leave & duty swap request (change duty)
For changing a duty day on the leave & duty list —
either swapping it with somebody else, or asking for it off. This is
the department-wide request, and the administrator decides it.
Open it from the menu: Leave & duty swap request →
New Request(Change Duty).
Filling the form
Request type. Choose Swap with someone
if two people are trading days, or
Request the duty off if you are only asking
to be let off. Choosing request off hides the second half of
the form — there is nobody on the other side.
Requesting staff → Name. Start typing and pick the
name from the list that drops down. The list is the department's
own nickname list, and it shows the full name and station under
each one, so you can be sure of the right person.
Requesting staff → Duty date. The day being
given up. Any date from 1 Jan 2026 to 31 Dec 2027.
Swapping staff → Name and Duty date. Who takes that
day, and the duty they hand back in exchange. Swap only.
Note (optional). The reason, or anything the approver
should know — up to 1000 characters. Worth filling in: a
request with a reason is easier to say yes to.
Press Submit request.
A swap: two names, two dates, and a note. The names here are examples — use the picker rather than typing a name out.The name box suggests as you type. Pick from the list: it fills in the nickname the roster knows the person by.Request the duty off is one-sided — one name, one date, and the whole second half of the form disappears.
Nothing on the roster changes when you submit. The request is
only a request until an administrator approves it. Keep working to the
roster as it stands until you see it approved.
What the form will not accept
A missing name or a missing date — both sides are needed for
a swap.
Both sides being the same person on the same day.
A date outside 1 Jan 2026 – 31 Dec 2027.
A senior on either side: seniors do not swap duties here.
If any of these is wrong the page comes back with a red bar naming the
problem, and everything you typed is still there — correct that
one line and submit again.
After you submit
You are taken straight to Check Requests(Change
Duty) with a green bar giving your request a number, and the
request sitting under Unreviewed.
The tabs across the middle count each status:
Unreviewed, Pending, Approved,
Rejected. Search by name to find a particular one.
The yellow cards are the workbook's own history — requests
from before this site. Use
Hide workbook history to see only what was
raised here.
Changed your mind? The red bin
on your card cancels it — but only while it is still
unreviewed or pending. Once it has been approved or
rejected, taking it back is a conversation with the administrator
rather than a button.
Check Requests: the status tabs, the search box, and the bin that cancels a request that has not been decided yet.
